Sowena Cornwall CIC is a Community Interest Company registered in England and Wales (company number 15277637). We are a nature-based community wellbeing organisation based at Wheal Busy, Chacewater, Cornwall.
For the purposes of UK data protection law, Sowena Cornwall CIC is the data controller for the personal information described in this policy. This means we are responsible for deciding how and why your information is used.
If you have any questions about this policy or about the information we hold, please contact:

We take this seriously, and we would always rather you asked us than wondered.
When you book an event
What we collect: your name, email address, phone number, payment information, any dietary requirements or allergies, and any health information you tell us that is relevant to your safety during a session.
Why: to manage your booking, contact you about the event, take payment, and keep you safe while you are with us. We ask about dietary requirements and relevant health conditions because we serve food and run physical activities, and we cannot look after you properly without knowing.
Our lawful basis: performance of a contract (your booking), and our legitimate interest in running events safely.
For health and dietary information, which is treated as special category data, our additional basis is your explicit consent – you choose whether to tell us, and you can ask us to delete it at any time.
How long we keep it: booking records for 6 years (we are required to keep financial records for HMRC). Health and dietary information is deleted within 3 months of the event.
What we collect: your name and email address.
Why: to send you news about upcoming events, our community fund, and what Sowena is up to.
Our lawful basis: your consent. You opt in, and you can opt out at any time using the unsubscribe link in any email, or by emailing us.
How long we keep it: until you unsubscribe.
What we collect: your name and contact details, the event you are requesting, and optionally, some information about you such as age range, ethnicity, disability status, employment status, and the first part of your postcode.
Why: the contact details are so we can offer you a place. The optional information is different, and we want to be completely clear about it.
Funded places are paid for by donations, by people who choose the supporter price, and, we hope, by grant funding in future. Grant funders ask us to demonstrate who we are reaching. Being able to answer that honestly is what allows us to apply for funding, and every successful application means more funded places for people who need them.
This information is optional. Choosing not to answer will never affect whether you receive a place, and we will never ask you to explain or justify your circumstances.
Our lawful basis: your consent for the optional monitoring information. Some of this (ethnicity, disability, health) is special category data, and we rely on your explicit consent for it. We also process it for equality monitoring purposes as permitted under UK data protection law.
How we use it: only ever as anonymous, aggregated numbers in funding applications and impact reporting. For example, “40% of funded places went to people reporting a disability.” Never your name, never your individual details, never your story.
How long we keep it: contact details for 12 months after your request. Monitoring information is separated from your name and held anonymously.
What we collect: your name, contact details, and whatever you tell us in your message.
Why: to reply to you.
Our lawful basis: our legitimate interest in responding to enquiries.
How long we keep it: 12 months, unless it becomes part of an ongoing relationship.
What we collect: your name, contact details, business details, insurance certificates, qualifications, and payment information.
Why: to arrange and pay for your work with us, and to meet our safety and insurance obligations.
Our lawful basis: performance of a contract, and our legal obligations.
How long we keep it: 6 years after our last engagement with you, for financial and insurance reasons.
We keep the amount of information we hold to a minimum, store it in password-protected accounts with two-factor authentication where available, and limit access to those who need it — currently our Directors and, where necessary, the practitioner delivering your session.
We are a small organisation and we take a practical approach: the best protection is not collecting more than we need in the first place.
Under UK data protection law you have the right to:

If you are unhappy with how we have handled your information, please tell us first, we would genuinely like the chance to put it right.

Sowena’s events are for adults unless we say otherwise. Where a child attends an event with a parent or guardian, such as our festival, we collect only what we need for their safety, and only from the adult responsible for them.
